What we store

• Firm details and branding.
• Engineer names and mobile numbers.
• Workflow definitions.
• Submissions: text answers, photos, timestamps, generated PDFs.
• Billing metadata (subscription ID, payment dates). Not card details.

Where it lives

All data is stored on EU servers. No personal data leaves Europe.

Who can see it

• Admins see everything in the firm.
• Members see engineers, workflows, and submissions. Cannot manage billing or delete admins.
• Engineers see only the WhatsApp chat.
• Quickler staff -- access for support only. We don't read submissions unless you ask us to.

Engineer consent: Engineers are added by their employer. We process their mobile number and WhatsApp messages under the employer's legitimate interest in field reporting, in accordance with UK GDPR Article 6(1)(f).

Exporting

Click Download data on the dashboard. You get a ZIP with every engineer, workflow, and submission as JSON, plus photos. Available any time.

Deletion

Close your account and we delete your firm, engineers, and submissions within 30 days. Billing records are kept 7 years (HMRC requirement) but contain no operational data.

Third-party processors

We use third-party services for WhatsApp message delivery, payment processing, and infrastructure. None of these services receive your submission content beyond what is necessary to operate the product. Full details are in the Privacy Policy.
